Melbourne Animal Specialist Hospital (MASH) is located in Ringwood and provides specialist services in Small Animal Surgery, Diagnostic Imaging, Anaesthesia and 24/7 Emergency and Critical Care. We are seeking a passionate and motivated Receptionist to complete our Client Services team.

As a member of the MASH team, you will be part of a supportive group of experienced veterinarians and nurses who are dedicated to providing the best possible care to our patients.

The role available is a permanent part-time position with a stable rotating roster (includes weekends).

Responsibilities:

  • Greet clients and visitors in a friendly and professional manner.
  • Answer phone calls, schedule appointments, and manage the front desk.
  • Maintain accurate client records and ensure all necessary paperwork is completed.
  • Process payments, handle billing inquiries, and provide financial information to clients.
  • Manage incoming and outgoing correspondence/emails.
  • Coordinate communication between clients, veterinarians, and other team members.
  • General administrative tasks such as filing, data entry, and inventory management.
  • Adhere to new and established protocols/systems.

Requirements:

  • Previous experience in a reception/administrative role, preferably in a veterinary or medical setting.
  • Excellent customer service skills with a warm and compassionate demeanour.
  • Proficiency in using computer systems and software – familiarity with EzyVet practice management software is an advantage, but not essential.
  • Strong organizational skills and attention to detail.
  • Ability to remain calm and professional in high-pressure situations.
  • A genuine passion for animals and their well-being.
  • Flexibility to work a variety of shifts, including evenings and weekends.
